Sequences and email blasts
Several emails over days that follow up on their own and stop when someone replies, or one email to a whole segment at once. Consent is checked before every send.
Prospecting > Campaigns holds both kinds of outreach. A firm owner finds the same page under Growth.
- Email sequences: several emails over days, sent automatically to whoever you enrol, with calls and tasks in between.
- Email blast: one email, sent once, to everyone in a segment at the same time.
Both read the same consent record, and every commercial email carries an unsubscribe link.
Build a sequence
New sequence opens the builder. Start from one of four shapes and edit it, or describe what you want to the AI builder.
| Starting point | What it is |
|---|---|
| Blank sequence | One email, and you build out from there. |
| Prospect nurture | An introduction, a follow-up that depends on whether they opened it, then a call. |
| Advisor recruitment | A cadence for reaching an advisor about joining, with a LinkedIn task for the ones who never open. |
| Re-engage a quiet contact | One honest check-in, then a call if they read it or a close-the-file note if they did not. |
Build it with AI: say who you are reaching and what you want. It asks a question or two, then hands back a whole sequence in the same editor. It can read your company website once so it knows what you do, and it writes in your voice when you have a voice profile. Every step is yours to review before anything sends.
Steps
- Email: sent automatically after the wait you set. Send me a test emails the step to you, filled in with your own details.
- Call, LinkedIn and Task: a task in your queue. The sequence waits for it. Past its due date the task escalates, and a week later the step expires and the sequence moves on, with the miss recorded.
- Merge fields such as
{{first_name}},{{advisor_name}},{{firm_name}}and{{booking_link}}are filled per person. A prospect whose first name cannot be found is not emailed; their place is held until the record is fixed.
Branches
An email can split the flow: on opens, on clicks, or three ways (clicked, opened, did not open). Steps can also wait on what an advisor actually cares about: a booked meeting, a signature, a deposit.
- Each branch runs when its condition happens, with a wait you set ("wait up to 3 days, then take the other branch").
- A person follows the first branch that matches and never two.
- A reply ends the sequence for that person right away, so there is no "if replied" branch to build. A reply that lands in the advisor's Junk or Spam folder counts too.
Opens and clicks are measured only when the firm has email tracking turned on (the Pro tier and up). A sequence can also be set to plain text: no tracking of any kind, and its open and click branches send everyone down the "did not" side.
Enrol people
- One person: Sequence on a prospect's record, or the send icon on anyone's row in Contacts.
- Several: tick them in Contacts and choose Enrol in sequence. Clients and prospects can be mixed.
- Automatically, two rules per sequence, both off until you turn them on: a lead-capture form submission enrols the new prospect at once, or a prospect reaching a pipeline stage you pick is enrolled within the hour. Each advisor sets the rules for their own book.
Before enrolling, WealthY shows who will be enrolled and who is excluded, and why: no email address, unsubscribed, consent withdrawn, implied consent lapsed, no consent on record, already enrolled. Nobody is skipped silently.
How sending works
- Each email goes out from the advisor's own connected Gmail or Outlook mailbox, so replies land in their inbox and thread normally. An advisor with no connected mailbox sends through WealthY's own email service.
- Each mailbox has a daily allowance that starts low in its first two weeks, spread across the sequence's sending window and a few seconds apart, never in one burst.
- A person already running in another sequence is not emailed by a second one at the same time.
- An address is checked before the first email. A shared mailbox, a mistyped or throwaway address, or a domain with no mail server is set aside rather than sent to.
- If a sequence starts bouncing too much, it stops writing to new people for the day and its owner is told. Follow-ups carry on.
- Consent is checked again before every email, not only at enrolment. Someone who unsubscribes or whose consent lapses mid-sequence is stopped, with the reason on their record.
Email blasts
New email blast under Email blast sends to a segment: all clients, all prospects, prospects at one pipeline stage, or hot prospects only (by lead score). For a saved list or people you tick yourself, select them in Contacts and choose Email.
- The result says how many were sent, how many were skipped because consent was withdrawn, and how many had no consent on record.
- When: Now, or Later at a date and time you pick.
- A blast goes out from your own connected addresses, paced within each address's daily allowance (the same allowance your sequences use), so a large blast spreads over the day instead of leaving at once.
- With email tracking on (the Pro tier and up), each copy is tracked per person: opens, clicks, bounces and unsubscribes, with security scanners counted apart. With tracking off, a blast carries no tracking pixel and no rewritten links.
Results
Campaign results lists every blast and every sequence with what was actually measured. Open a sequence to see each step's numbers: sent, opened, clicked, and for manual steps, done or expired.
