One-click onboarding
From a new name to a client with accounts ready to open: an intro pack before the first call, then one link that asks only what is missing.
Onboarding in WealthY is three moments, each one a single button. Nothing is ever sent without a click.
- Before the first call: the intro pack.
- When they say yes: Start onboarding.
- For a whole book at once: Start onboarding from Contacts.
1. The intro pack
A short set of questions plus a list of what to bring, on one private link. No login for the person receiving it.
- Where it shows up: a new prospect's record opens with one card, Send the intro pack before your first call. When a meeting with them is already on the calendar, the card names it ("Intro call Thursday at 2:00. Send the intro pack?").
- From the calendar: when a meeting has a guest who is not in your contacts, Home and Meetings show "New: ... is not in your contacts" with Add and send intro pack, Add only, or do not ask again.
- Light, Medium, Heavy sets how much this pack asks. Customize changes it for one person: turn questions on or off, add your own, add a note. Save it as your default if you want it every time.
- Their side: the page carries the firm's logo, colour, your name and photo. Every question has a quiet Not sure. Every document has Add it now, I'll bring it or I don't have it, with an optional note. Finish later saves their place.
- Your side: the answers show on the prospect's record and in meeting prep. Gaps are listed by name, with Ask again or that is fine without it.
The firm owner sets the firm's intro pack in Operations, request settings, on the Intro pack tab of the info request card, with a library of ready-made questions and documents in English and French and a default length.
2. Start onboarding
Start onboarding on the prospect's record opens one sheet, not a wizard.
- Drop everything they sent you: statements, an old KYC, tax slips, their plan, ID. PDF, JPG, PNG, WEBP or HEIC, up to 4 MB each. Files from the intro pack are already included.
- WealthY reads them and fills what it can, then shows Accounts to open, what is Coming from another institution as a transfer, and What they will be asked: the questions and documents that are still missing, and nothing else.
- Send emails one private link. Or Save, do not send yet.
The record then carries one status line: sent, opened, in progress (answered 12 of 17, uploaded 1 of 2), finished. Resend, Copy link and Add documents sit beside it. When a prospect is marked won, WealthY offers Start onboarding.
The firm owner picks which documents a link asks for (photo ID, void cheque, a statement for each transfer) on the Onboarding tab of the same card.
The client's link
One group of questions per screen, in the client's language, in plain words, on the firm's letterhead:
- Questions and documents, only the missing ones. Not sure on every question and I'll send it later on every document are always there and never block them.
- Review: the accounts first, then their answers, then what is still to send. They confirm the information is accurate and complete.
Then one of two endings:
- Sign in the same sitting, when the paperwork is ready for it: they set their portal password (or enter it, if they already have one), enter a one-time code sent to the contact on file, and sign right there. If a document needs their SIN and none is on file, it is asked once, only after the code, and stored encrypted.
- Send to the advisor, when it is not (a readiness item on the advisor's side, e-signature off, a joint holder with no email): they send the file to you, a new client setting their portal password first. Every request waits as a draft for you to send for signature.
Nothing reaches a dealer from the link. Every signed request lands with you for review, and your Approve sends it on, exactly as any other request. Their answers stay on the link, and reach the client's record only once they have verified who they are or sent the file to you.
After they finish, you get one line: "Jane finished: answered 17 of 20, not sure about 3, still to send 1 document", with Ask again for anything missing. A file they add later rings once.
3. The whole book
In Contacts, select people and choose Start onboarding. One drop zone for everybody: drop the whole box of statements, old KYCs, tax slips and IDs, and each file finds its person, with anything uncertain left for you to place. One link each, and nothing is sent until you press Send. After an import, WealthY offers this once.
Plans
